Our families at Brainwave are very important to us. We reserve appointments specifically for your child and ensure that the right therapists, facilities, and equipment are in place to help them get the most from their session.
To confirm your booking, a £100 deposit is required for each assessment. This deposit secures your child’s place and is non-refundable once confirmed. Families receiving full Therapy Access Fund (TAF) support may, if needed, pay this deposit in two instalments – however, your appointment will not be confirmed until the full deposit has been received.
If you need to cancel or reschedule your appointment, please give us at least eight weeks’ notice wherever possible. This allows us to adjust team schedules and offer the appointment to another family on our waiting list.
- If at least eight weeks’ notice is given: your £100 deposit can be transferred to your rescheduled appointment.
- If less than eight weeks’ notice is given: a £50 administration fee will be applied.
- If you choose to reschedule, an additional £50 deposit will be required to secure the new date.
- If you choose not to reschedule, your full £100 deposit will be forfeited.
Please note:
- ‘No-shows’ (non-attendance on the day of your appointment) will result in the loss of the full £100 deposit and all contribution payments already made.
- Brainwave will always contact families in advance of their appointment (an email and/or text reminder will be sent at 10 weeks) to confirm attendance, helping to avoid any misunderstandings.
- If Brainwave must cancel an appointment for any reason, your deposit will either be transferred to a new date or refunded in full – whichever you prefer.
- Brainwave operates a two-strikes policy for rolling over deposits. If a second appointment is cancelled (the deposit already having been rolled over twice), we assume the family are not able to follow the Brainwave Programme and will take the family Off Programme. In this instance, Brainwave will neither refund nor rollover the deposit.
